Terms And Conditions

All the delegates are personally responsible for their belongings at the venue.

The conference fee includes lunch, coffee, tea and other refreshments followed by a copy of the conference handbook.

Requesting an Invitation Letter

Adhering to security guidelines the letter of invitation will be sent only to those individuals who had registered for the conference. Once you complete your registration, please contact contact@frigateconferences.com to request a personalized letter of invitation.

Confirmation of your booking

  • We will confirm your booking by email. If you prefer confirmation by post, please let us know by informing us either by calling us or sending an email.
  • If you are paying by a credit card, we will send you confirmation of your place in 3-5 working days from receipt of your booking.
  • Please contact us if you have not received confirmation in writing 7-10 days after submitting your booking form.

Hotel accommodation

This is not included. An accommodation booking form, listing a range of hotels close to the venue, will be included with the confirmation of your place at the conference.

Directions and a map for the venue will also be included with your confirmation.

Substitutions

Substitute delegates are welcome at any time. Just let us know who they are, and whom they are replacing either by calling us or sending an email.

Visa Information

Due to increased security measures, we would like to request all the participants to have an invitation letter from organizers and apply for Visa asap. The organizers cannot directly contact embassies and consulates on behalf of visa applicants. All attendees including delegates or invitees should apply for Business Visa only. If required, we will confirm the embassy about the particular person participation only if he or she registers for the conference. Visa issues sucha as failed visa applications and inability to obtain visa at right time cannot come under the consideration of cancellation policy.

Cancellations

A refund, less 20% administration fee, will be paid if a cancellation is received, in writing, at least four weeks before a conference. We regret that cancellations after this time cannot be refunded, and that a refund for failure to attend a conference cannot be made. Credit card refunds will only be made to the card in which the original payment was taken.

On completion of the online booking form or signing of the paper booking form the delegate and their supporting organization are liable for the fees for the conference subject to our cancellation terms. Should the individual delegate leave the organization the responsibility for payment is with the employing organization at the time the booking form was signed.

Special Offers

Special offers are not valid in conjunction with any other offer from Frigate Conferences’ Conferences group (including the credit card discount) and are for new bookings only, we are unable to offer refunds on booked places. Bookings are subject to payments made, strictly 30 days from date of invoice. Promotional discount codes cannot be used for the purchase of conference handbooks and related material. Discounts are not available to commercial organizations.

Refund and Cancellation Policies

  • Requests for refunds must be submitted in writing via email to us at finance@frigateconferences.com
  • Payments will be refunded if the cancellation request is made at least 30 days before the event dates and refund charges, and applicable taxes will be deducted from the total refund amount.
  • Cancellations made more than 30 days before the event will be eligible for a full refund, minus any applicable refund charges and taxes.
  • Cancellations made 15-30 days before the event will receive a 50% refund, after the deduction of refund charges and applicable taxes.
  • No refunds will be issued for cancellations made less than 15 days before the event.

 

Note: Refund/Cancellation Policy is not applicable if the conference is postponed due to natural disasters or unpredictable activities beyond organizers control including without limitation, force majeure, natural disasters, sabotage, accident, trade or industrial disputes, terrorism, strikes or hostilities. The organizer will provide opportunity for the registered participants to transfer their registration fee and accommodation charges to any future editions or related conferences.

 

Terms and Policies:

  • By registering for the conference you hereby agree the terms and conditions.
  • The organization reserves the right to make alterations to the program, date and/or venue at any time without prior notice.
  • Organization is not responsible for any loss or damage as a result of substitution, alteration, postponement or cancellation of an event due to causes beyond its control including without limitation, force majeure, natural disasters, sabotage, accident, trade or industrial disputes, terrorism, strikes or hostilities.
  • The organization reserves the right and holds the sole discretion to cancel any conference at any time in case of any unavoidable and unforeseeable circumstances. Organizer will have no further liability to the client.
  • Registrations remain valid for event with new dates or for future editions, if the conference has to be postponed by causes beyond organizer control. Refund policy is not applicable in this condition.
